CANDIDATE MEETING INFORMATION

  1. FACILITATION OF THE MEETING
The Candidate meeting will be facilitated by Te Kapu O Waitaha Board Chairman.  It should be noted that the Chair is not a participant for re-election.
  • The facilitator will outline the procedure of the candidate meeting, voting, and announcement of results
  • Trustee Pre-requisites for election as per the Trusts’ mandated Charter will be read prior to commencing the Q & A session with the candidates.
 
  1. QUESTIONS AND ANSWERS
The Chair will invite each nominee an opportunity to speak to their nomination for Board election if they so wish. Alternately, IN THE PRESENCE OF the nominated candidate, ONE of the signatories supporting the nomination may do this on their behalf.  Each candidate will be allocated 5 minutes for this purpose.  
  1. The Chair will invite questions from the beneficiaries for any of the nominated candidates.
 
  1. VOTING
4.1       Voting Forms Registered beneficiaries will be identified from the Iwi Register Election Roll upon arrival. Their Beneficiary number will be written and voting form issues by Te Kapu O Waitaha Iwi Registrar 4.2       Time of voting The Chair will indicate to the meeting the end of Q & A and that voting may commence 4.3       Secret Ballot Voting is by way of secret ballot by those registered beneficiaries at the candidate meeting only. A secured box will be provided for this purpose Each candidate is also entitled to cast their vote on the day There is strictly NO proxy voting  
  1. COUNTING OF VOTES
An appointed independent scrutineer will count the votes at the venue. The meeting will be re-convened following a cup of tea at which time the scrutineer will announce the vote result.  
  1. APPROVAL TO STAND AS TRUSTEE VIA BENEFICIARY VOTE
The candidates who receive more “Yes” than “no” votes will qualify for election.
  • Three Year Term Trustee positions
If the number of qualifying candidates (whose nomination was for the three year term  Trustee positions) are equal to that of the number of Trustee positions for election, there will be no requirement to hold an election. 6.2       Causal vacancy – One Year Term Trustee position In the case where there is only 1 nomination for the trustee vacancy for the 1 YR term “casual position”,  and the candidate meets the pre-requisite requirements for Election, then that position is considered filled.
